Position: Office Business Manager
FLSA Status: Hourly – Non-Exempt; Part-Time
Schedule: Monday through Friday; 20-25 hours per week
Summary: The Office Business Manager is responsible for the overall administrative operation and
management of the church office, building, and grounds. The Office Business Manager supervises the
Accounting Manager and the Facility/Maintenance and Groundskeeping staff. This position reports to the
Pastor.
Essential Job Functions/Responsibilities:
• Oversee the normal operations of the church, including:
o Perform receptionist duties, serving as the first point of contact for visitors and callers.
o Open and distribute the mail; approve invoices for payment.
o Order all normal supplies for office or worship service; order special supplies as requested.
o Oversee equipment and maintenance/cleaning contracts.
o Maintain and update vital statistics of the congregation and visitors in membership database.
o Update attendance tracking for regular and special worship services.
o Keep Pastor(s) informed of prayer cards, visitor cards, deaths, illnesses, crisis in the
membership and of prospective individuals in the community interested in membership.
o Implement the policies of the church with the guidance of Church Leadership
• Prepare for worship services by formatting and printing service bulletins and informational inserts.
Ensure worship space is prepared for planned services.
• Coordinate and maintain the Church’s building-use and events calendar for special events, funerals, or
regularly occurring meetings.
• Serve as the primary point of contact for the tenants leasing church space.
• Assist in annual renewal of church insurance policies, including property, liability, and worker’s
compensation insurance coverage. Oversee any claims processing with carrier.
• Assist in annual renewal of group health benefits and administer to eligible staff by completing annual
Open Enrollment and mid-year adjustments as needed.
• Manage and supervise the Facility/Maintenance, Groundskeeper, and Accounting Manager staff to
keep informed of and assist with operational needs.
• Assist Personnel Committee in the recruitment, selection, and onboarding of new, non-clergy staff and
conduct annual evaluations of direct reports.
• Attend Church Leadership meetings each month; attend other committee meetings as requested.
• Compile, print, and distribute the Church’s Annual Report; perform annual reporting to IL South
Conference; and assist in printing programs and booklets requested by various church programs or
boards.
• Provide administrative assistance to Pastor(s), church boards, and event committees.
• All other duties as assigned by the Pastor.
Qualifications:
• 2+ years of work experience in an administrative/office management role required.
• Bachelor’s degree in business, Human Resources, or a related field desired.
• Computer proficiency required (i.e. Outlook, Word, Excel, Power Point, Google Calendar, Church
windows, and client-management database).
• Efficient/Effective use of office equipment (copy machine, multi-line phone system).
• Interacts with a diverse population of staff and membership in a courteous manner.
• Punctual and reliable in attendance.
• Able to work independently and with staff on projects.
• Displays organizational skills in managing projects.
• Flexible with assignments, duties and schedule.
• Demonstrate confidentiality, tactfulness and maturity in interactions with staff
and congregation.
Physical Demands/Work Environment
• The physical demands and work environment described here are representative of those demands that
must be met by an employee to successfully perform the essential functions of this job and the
environmental characteristics the employee will encounter while performing those functions.
• The work environment is a generally well-lit HVAC-controlled sanctuary, classroom, and large meeting
space. There will be times when working outside may be required. Some areas used are not
