  • Office Manager

     Quackcom is looking for an Office Manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Previous experience as a Front Office Manager or Office Administrator would be an advantage.  A successful Office Manager should have experience with a variety of office software (email tools, spreadsheets and databases) and capable of learning new software systems related to the information technology industry.  Ultimately the Office Manager should be able to ensure the smooth running of the office and day-to-day operations.

    Responsibilities:

    • General office upkeep, ordering office supplies, paying bills, and miscellaneous administration duties as assigned.
    • Coordination & management of sales flow & sales tracking
    • Scheduling between service technicians and clients for service calls and projects
    • Applying for service orders on behalf of our technicians through 3rd party work platforms
    • Prepare estimates and light accounting duties
    • Provide general support to visitors & callers
    • Assist in the onboarding process for new hires, interns, and contractors
    • Source equipment for service calls and projects
    • Utilize procurement software to record the purchase of equipment, creating purchase orders and checking in equipment and materials upon receipt
    • Balancing monthly commission statements
    • Placing orders for service with 3rd party vendors
    • Other miscellaneous duties as assigned
    Skills:
    • Proven experience as an Office Manager, Front Office Manager or Administrative Assistant preferred, but will train the right candidate
    • Knowledge of office administrator responsibilities, systems and procedures preferred
    • Proficiency in MS Office products (mainly Excel, Outlook, and Word)
    • Hands on experience with office machines (e.g. fax machines and printers) preferred
    • Excellent time management skills and ability to multi-task and prioritize work
    • Attention to detail and problem solving skills
    • Excellent written and verbal communication skills
    • Strong organizational and planning skills in a fast-paced environment
    • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
